In today's episode, Sean asks, does ATS optimization with Chat GPT actually work? Or are companies based uh filtering based on hidden criteria? So this is a hiring question specifically about how ATS or applicant tracking systems work and can you use Chat GPT to customize against how those systems work? And the answer to this is it depends on the system. So there's a lot of different ATSs out there.

Connexa, Teleo, all the HRIS systems. There's so so many of these things. And the catch with these things is that yes, they all do things slightly differently. Some are more advanced than others. What almost every system does is it ingests your CV or your resume and it's usually a scan of some kind.

So it's an OCR scan, optical character recognition, and then it ingests keywords and data from that into the LMS or the ATS database. These are not typically AI aware systems. They're not as sophisticated as you know chat GPT or Gemini or Claude. These are systems that are in some cases, you know, decades old, and that means that they optimize optimizing systems kind of like optimizing a lot of ways for like SEO from 15 years ago when you were just doing keywords, um keywords and phrases and things to match what's in a job description. So to optimize a CV or resume for a system like that, you have you should have an idea what is in the system and how it works.

The easiest way to do that is to um look at the technical documentation, the manuals for these systems. They're all public, they're all online. Uh you can go into uh, I believe IBM owns I want to say I think IBM owns Knexa, um Taleo, uh I forget who the other big players are in the space, but you can go into those those company documentation systems for uh for the HRIS software or HRMS software and look at the look at how they process data. My suggestion would be to go to a tool like uh you know chat GPT or Claude or Gemini or what have you with those PDF manuals in hand, and you can download them from the public web and ask your AI of choice how the system processes CVs, what kind of OCR is available to the end user, uh, and then based on its findings from those manuals, you can then say, okay, now how can I optimize my CV to be as best aligned to that data pipeline as possible. I will say, based on you know my experiences in the hiring system, because I used to be a recruiter a long long time ago, um, as nice as you might want your CV to look, uh, anything that obscures optical character recognition, anything that obscures the ability for a system to scan your document and understand its contents is not going to work for you.

So even if you are a graphic designer, you might want to have a version of your CVs, you know, the the intentionally ugly uh aerial font 12-point nothing fancy version of your CV. And I call it a CV because you, even though in America where we refer to it as resume, um the rest of the entire planet uses the term CV for curriculum guitar, the Latin term. So you will you should take the time to digest down the manuals for the systems and identify how they how they work and then identify what you need to do to make your CV work best with that system. You should have machine readable versions of everything. So whatever whatever system you're using, um, make sure that it's uh machine readable, that is as bland as possible.

And I know, like I said, if you're a designer, it's gonna break your heart to do that because that's it not what you want, that's not how you want to represent yourself, but you are representing yourself to the machines. You may, uh and I'm I'm not suggesting this is right for everybody, but you may on your personal website want to have a markdown version of your CV that is straight up plain text that will allow uh a system to easily process your data with very little extra work. And by the way, if you're wondering why I'm pouring hydrogen peroxide of these carrots, it's because these are those snacking carrots. I think they're about a week old. And to preserve food quality as best as possible, uh, since certain children's grubby little hands have been in the bag.

We're going to soak them in hydrogen peroxide to sanitize surface bacteria, then rinse them and drain them so that we preserve the food as long as possible. Science he didn't ask for in the video about AI. So that's my suggestion for optimizing for an ATS. Yes, you can use ChatGPT to do it. However, you should be starting with the documentation for the HRIS systems that you are targeting or that you know are in use in the industry that you are applying for.
