Summary
In today's episode, I walk you through a simple but often-overlooked marketing task: auditing user access across all your marketing technology platforms. Here's what this means for you. You'll protect sensitive data and stay ahead of regulations like CCPA and GDPR by making sure only authorized people can reach your systems. You'll also learn these concepts: why stale permissions from former employees and vendors create hidden security gaps, which platforms deserve a quick access review, and how a short monthly routine removes risky access before it causes trouble.
Key Takeaways
- You'll discover how to audit user access in tools like Google Analytics, Google Tag Manager, and social ad accounts
- You'll learn why leftover permissions from former employees, contractors, or agencies create real data and compliance risks
- You'll see how a quick monthly reminder turns a one-time cleanup into a reliable security habit

In this week's do something with your marketing, I want you to do something very simple, but something that people forget to do. And that is I want you to check permissions on your various marketing technology services to make sure that the right people have access to it and the wrong people do not. So for example, here in Google Analytics, I can go into user management and check to see who has access to my analytics profile. And if there's no one there, if there's people there that shouldn't be there, I know I need to clean them out. If I go into Google Tag Manager and do the exact same thing, uh, what am I going to find?
Am I going to find people inside my tag manager container that should not be there? Uh there's always a possibility that I've left some access open or that possibly the account was compromised. The same would be true for Facebook, for Twitter, for your AdWords account, for all these different services that are out there. Make sure that only the people who are supposed to have access to your systems do. There are so many accounts that uh have just sort of left things as is.
Nobody ever goes in and cleans up uh the user management, the user access within systems that are in some cases mission critical to your company. You would want to know that somebody still has access to a system that you didn't mean for them to have access to after the work or the project or whatever came to an end. So it seems so straightforward. It seems like something that we're like, why would even we even need to make a video about this? Well, because it happens, because there are a lot of things left over.
So simple, easy task for this week. Make sure that in all of your major marketing technology systems, just do a quick audit. This is especially important in companies where there are a lot of people. Right? In my own personal Google Analytics account, there's probably not going to be a ton of people in here.
But at a company, are there previous employees who are no longer employees? Are there contractors, vendors, agencies? Who has access to your data? This is going to be extremely important in the next few months. As many of you know, uh, in the United States, the California Consumer Privacy Act takes place, it takes effect January 1st, 2020, which is very similar in a lot of ways to GDPR.
And there's a lot of data within your web analytics, your social media systems, all this stuff. Part of CCPA, part of GDPR, part of all this stuff is making sure that no one has access to systems that they shouldn't. So save yourself a lot of time and heartache and do this sort of stuff now. Clean up and then just set yourself a reminder. Last day of every month.
Uh just go in and clean out anybody who needs to be cleaned out. You will save yourself a lot of time, a lot of headaches. Uh you will be compliant with a lot of these regulations that are coming up soon. So that's this week's Do Something With Your Marketing. Go in and clean out people who shouldn't have access to your accounts.
