I was reading a report recently that was loaded to the brim with passive voice writing. "The video content was loaded to the channel. The analytics are suggesting that X might be the best place for us to create content." Passive voice, for those who don't remember English class, is when you read a sentence and have to ask, "okay but... who did it?" I had an English teacher who once taught that we should attach "by whom?" as a question at the end of sentences to determine whether it's passive voice or not. People - you and I - often use passive voice as a way to dodge accountability. "The web site content was updated and saw a 23% drop in performance." Okay, by whom? Who updated the website content and why did it fall so much? The contrast is active voice. "I updated the website content." "John called the customer back." It's super clear who did what. There's no dodging anything. If lack of clarity is your goal (because you feel unsafe in your organization and you need to dodge accountability, especially from a bad manager), bust out passive voice. If clarity is your goal, bust out active voice. The good news is this: generative AI EXCELS at rewrites like this. You can give it a writing sample and a straightforward prompt that goes like this: > Convert this text from passive voice to active voice. Passive voice is the enemy of clarity. As you convert, if there are things that are unclear due to the writing, ask me about them. Preserve all factul data, writing style and tone as you convert to active voice. This will convert your memo into active voice. Do this, and be amazed at how different the result will be. The reverse works too. > Convert this text from active voice to passive voice. The goal is to prevent blame games and other wastes of time by using passive voice, instead focusing on the outcomes.
